Customize and Print Calendar Templates

PrintableCal includes many attractive calendar templates that can be easily customized and reused. If you know Microsoft Excel, then you already know how to customize templates with your own layouts, colors, pictures, and content - it's very easy. We also have an online community where you can ask questions, download templates other people have created, or show off your creative talent by uploading your templates.

The following template styles are included with the PrintableCal installation. In most cases, each template style includes a default template as well as template featuring larger text, thicker borders, and higher contrast. The example screenshots are for the default templates.

Agenda Template

This template generates an agenda-style listing of events or tasks for a specified date range. This template includes an option to show detailed descriptions.

1 Day/Page Template

This template generates a calendar showing 1 day per page. Events and tasks will be placed within their corresponding time slots. Overlapping items will be shown side-by-side.

1 Day/Page Without Overlay Template

This template generates a calendar showing 1 day per page. Events and tasks will be placed within their corresponding time slot rows and within the associated calendar column, rather than being overlaid into the same columns.

4 Days/Page Template

This template generates a calendar showing 4 days per page. Days will each be within a column, with all-day events at the top and time slots below. Events and tasks will be placed within their associated time slot cell.

Calendar Columns Template

This template generates a calendar with days as rows and calendar data sources as columns. Any number of days can be generated. Each day will consist of multiple rows for containing its events or tasks.

Form Letter

This template generates a form letter using the data from scheduling software such as Google Calendar, Outlook, and VueMinder. The concept is similar to "mail merge", except instead of merging address book data into a form letter, it merges calendar data. An example template is provided and can be fully customized. The template uses placeholder tags which are replaced with event data when form letters are generated.

Gantt Chart Template

This template generates a calendar that is formatted as a Gantt chart. Each task will be ordered based on when it is schedule to start, with a timeline showing the task duration and due date. Tasks that don't have a duration will be indicated using a diamond shape.

List Template

This template generates a basic list of events or tasks for a specified date range, optionally including events or tasks that have no associated date.

Month Template

This template generate a whole month per page, using a traditional monthly calendar layout. Events and tasks will be ordered within each day based on starting time. All-day events will be placed at the top of each day cell.

2 Months/Page Template

This template generates 2 months per page, with the first month on the left side of the page and the second month on the right side. The page can be cut in half and placed in a binder.

6 Months/Page Template

This template generates 6 months to a single page. Dates can be color-coded based on the first event or task. Events and tasks will also be listed to the right of each month.

12 Months/Page Template

This template generates 12 months to a single page. This is similar to the Year template, except a starting month can be specified. Also, dates can include color-coding for up to 4 items, instead of only a single item.

Multiple Months as Columns

This template generates multiple months, where each month is defined as a column and the days of the month are defined in rows. This layout can be used to generate an entire year to a single page while still showing item details.

Multiple Months as Rows

This template generates multiple months, where each month is defined as a row and the days of the month are defined in columns. This layout can be used to generate an entire year to a single page while still showing item details.

2 Weeks/Page Template

This template generate 2 weeks to a single page, split down the middle with one week on the left and one on the right. The page can be cut in half and placed in a binder.

Week Column Template

This template generates a calendar showing 7 days on a single page. Each day will be a column, with all-day events at the top and timeslot rows below. Events and tasks having start/end times will be placed within their associated timeslot cells.

Week Grid Template

This template generates a calendar showing 7 days on a single page, arranged in a 2x3 grid layout. Each event or task will be ordered based on its starting time. All-day events will be placed at the top of each day cell.

Multi-Week Template

This template generates multiple weeks to one or more pages. It is similar to the default Month template, but can show between 1 and 52 weeks instead of only whole months.

Year Template

This template generates a calendar showing an entire year on a single page. Each day can be color-coded based on the first event or task occurring on that date.

Date Picker For Microsoft Excel and Word

PrintableCal provides a mini calendar and date picker in the Task Pane of Microsoft Excel or Word. A date can be inserted into the current cell or at the current cursor location by simply clicking the date in the date picker. A settings menu also provides options for the date format and size of the mini calendar.

Insert a Color-Coded Legend

Events and tasks in generated calendars will be color-coded based on the associated calendar data source. If you use multiple data sources, it can be helpful to include a color-coded legend. PrintableCal enables easy insertion of a legend anywhere on the page. Simply select the data sources that should be shown in the legend and then click the Insert button.

  • Hi Jernita, there isn't a pre-installed template for spanning a single month over 2 pages, but you can easily customize one of the existing templates as needed. Here's how:
    1. Click the Customize button on the PrintableCal tab in Excel.
    2. Select the "Month -> Month Template - Split Binder" template. You could customize one of the other templates, but this one is closest to already working the way you need.
    3. Click the Customize button below the template list.
    4. On the Page Layout tab, change the Width to "2 pages".
    5. Delete column F.
    6. Switch to "Page Page Preview" on the View tab. The output will still appear to fit on one page.
    6. Adjust the column widths A-H so the output will take up 2 pages.
    7. Switch back to the Normal display mode (on the View tab).
    8. Enter a new name for the custom template in the PrintableCal panel on the right side of the window. For example, you could name it "Month Template - 2 Pages"
    9. Click the Save button in the bottom-right corner. The custom template will be added to the template list and available for generating calendars.

  • Hi nkkll, thanks for the feedback. PrintableCal works with Microsoft Office (2007 or later). Unfortunately, PrintableCal isn't compatible with Softmaker Pro. I'm planning to update VueMinder's Print feature to provide better integration with PrintableCal (if installed). That improvement will be in the next version of VueMinder. Please let me know if you have any other questions.

  • Hi! I have VueMinder and having used many PIM programs this one is the best! I am interested in PrintableCal. However, long ago I decided that MS Office wasn't worth the money I was spending and in particular because I have 2 desktops and 5 laptops. In addition, I have several Androids and wanted software that crossed OS. So, I use Softmaker Pro on all my computers. I presume, though I hope that I'm wrong, that PrintableCal will ONLY work with MS Office. Is that a true statement? Also, why not offer an INTEGRATE PrintableCal into VueMinder in addition to the stand alone version?
